Firm: PreHire|New Hire Steps

QUICK STEPS

  1. Review Safe Harbor calculation
  2. Send email (via Onboarding Dashboard button) to Candidate (or Resend)
  3. Candidate completes PreHire Authorization Form + ID request + any Firm PreHire form(s)
  4. Firm + Consultant (if selected) receive an email alert of receipt.
  5. Consultant performs review (if selected), and adds EDD notes to file.
    1. Firm marks Agreement, PreHire Auth or Due Diligence as 'Reviewed' manually (See Step #7)
  6. Firm makes decision on candidate

Firm's Onboarding Dashboard

1.   Review Firm's Safe Harbor calculation to see # of hires available

2.   Send email (via Onboarding Dashboard button) to Candidate

  1. This SEND PREHIRE EMAIL button will send an email to candidate with PreHire Authorization form + any Firm PreHire Forms (if any uploaded)
  2. This EDD-NO PREHIRE EMAIL button will add name to the PreHire list, allowing for the background review (enhanced due diligence), but NO email will be sent to them.
  3. This ONBOARD-NO PH/EDD (no PreHire or enhanced due diligence) will add name to the Onboarding list, bypassing the background search stage.

Right-Click from Onboarding Dashboard > PreHire Pipeline

3. Candidate completes PreHire Authorization Form + ID request + any Firm PreHire form(s)

      a. Firm specific PreHire Forms are added from the Firm Info module if any uploaded)

4. Firm + RISC (if selected) receive an email alert of receipt.

      a. Firm will see it appear in PreHire Dashboard + receive:

5. RISC performs review (if selected), and adds EDD notes to file.

      a. EDD Coversheet and all supporting documents are uploaded into Firm’s Drive
      b. CCO receives an email with the EDD (including any findings) for review -AND-
      c. Decision/Info form link -or- Right-Click from Onboarding Dashboard > PreHire Pipeline

6. Firm makes decision on candidate 

**If firm performed review in house or manually, see # 7 below

      a. Principal/CCO accepts or denies the PreHire Candidate via:
            1.  the emailed link -or- 


            2. Right-Click from Onboarding Dashboard > PreHire Pipeline -or- 

 
            3. Scroll to right and select [PreHire Decision]

7. (if not using Consultant services) Firm marks Agreement, PreHire Auth or Due Diligence as 'Reviewed' manually 

If firm reviews PreHire and performs the Due Diligence, items should be marked as Received/Reviewed or Pending/Completed manually
  1. PreHire Dashboard > Rt-Click on name > EDIT   > scroll to bottom and update PreHire Auth or Due Diligence fields
    1. These selections appear on the Checklist Report that is uploaded to file, once onboarding is completed
Because an employment or contractor agreement is firm-specific, and is done at different steps for each firm (HR vs CCO, etc), each firm must manually mark the agreement as received if you want 1) keep track of the status 2) have the selection appear on the Checklist Report once onboarding is complete. (If firm opts not to control this item in Compass, that is their discretion)
  1. PreHire Dashboard > Rt-Click on name > EDIT   > scroll to bottom and update Agreement field
  2. ADDITIONALLY: the chance to answer 'Reviewed' is promoted when Firm accepts the PreHire, once Due Diligence is completed, if Firm selected to have reviewed by Consultant.
Firm marks AGREEMENT manually, can update PreHire and DD if needed
  1. Scroll to right and select [INTERNAL REVIEW COMPLETED]
