Firm: PreHire|New Hire Steps
QUICK STEPS
- Review Safe Harbor calculation
- Send email (via Onboarding Dashboard button) to Candidate (or Resend)
- Candidate completes PreHire Authorization Form + ID request + any Firm PreHire form(s)
- Firm + Consultant (if selected) receive an email alert of receipt.
- Consultant performs review (if selected), and adds EDD notes to file.
- Firm marks Agreement, PreHire Auth or Due Diligence as 'Reviewed' manually (See Step #7)
- Firm makes decision on candidate
Firm's Onboarding Dashboard1. Review Firm's Safe Harbor calculation to see # of hires available
- SEND PREHIRE EMAIL button will send an email to candidate with PreHire Authorization form + any Firm PreHire Forms (if any uploaded)
- EDD-NO PREHIRE EMAIL button will add name to the PreHire list, allowing for the background review (enhanced due diligence), but NO email will be sent to them.
- ONBOARD-NO PH/EDD (no PreHire or enhanced due diligence) will add name to the Onboarding list, bypassing the background search stage.

(link in the middle (below titled "Firm Agreement Titled Here" only appears if PreHire Form is added to the Firm Module, and will be titled as entered)

- If form needs to be resent, or needs to be re-done, DO NOT ADD AGAIN
- Right-Click from Onboarding Dashboard > PreHire Pipeline > “Resend PreHire Email”
a. Firm specific PreHire Forms are added from the Firm Info module if any uploaded)
4. Firm + RISC (if selected) receive an email alert of receipt.
a. Firm will see status update in PreHire Dashboard + receive an email alert:
Example: Email alerting the receipt when NO answers need attention vs. when DO need attention
- If RISC performs review (if selected)
- RISC receives email alert and performs review
- RISC adds any EDD notes or findings into Compass
- EDD Coversheet and all supporting documents are uploaded into Firm’s Drive
- CCO receives an email with the EDD (including any findings) for review + Decision link
Example: Email alerting the CCO/Compliance that Due Diligence is complete + PDF of review cover (note: supporting documents upload to file, not included in email)
- If FIRM performs review
- Firm receives email alert and performs review
- Can Right-Click > RUN SEARCH in Prehire Pipeline
- (this will open basic search tabs: OFAC, Google, Finra Gateway)
- Firm adds any EDD notes or findings into Compass (Rt-Click > ‘EDIT’)
- Press [MARK COMPLETED & UPLOAD EDD DOCS] button
- EDD Coversheet and all supporting documents are uploaded into Firm’s Drive
- Firm can upload additional supporting documentation (Rt-Click > ‘Upload Addtl EDD Support’)

Right-Click from Onboarding Dashboard > PreHire Pipeline > ‘Firm PreHire Decision’
Scroll to right and select [PreHire Decision] button -OR- same button in side menu (click name once and side menu appears
Because an employment or contractor agreement is firm-specific, and is done at different steps for each firm (HR vs CCO, etc), each firm must manually mark the agreement as received if you want 1) keep track of the status 2) have the selection appear on the Checklist Report once onboarding is complete. (If firm opts not to control this item in Compass, that is their discretion
PreHire Dashboard > Rt-Click on name > EDIT > scroll to bottom and update Agreement field
Alternatively, firm can easily mark Agreement as received in the next ONBOARDING pipeline
When Firm ACCEPTS PreHire
- Name moves to ONBOARDING Pipeline
- Auto-Email is sent to remind of next steps
Example: Email is sent to CCO/Compliance reminding of next steps once candidate is accepted
